NOTES     AND     ENTRY     CONDITIONS

                                          Section  A  -   Introduction

 

GENERAL BY-LAWS: These notes and entry conditions of the Roma & District Eisteddfod Inc. and its Management Committee represent the by-laws and conditions under which the annual Roma & District Eisteddfod is staged.  Entry in the Eisteddfod is subject to acceptance of, and adherence to, all by-laws and conditions.  Notes and Entry Conditions are published in the Syllabus.

AMATEUR STATUS:  All competitions are held under the auspices of the Roma & District Eisteddfod Inc. and are open to amateurs only.  The term “amateur” is defined as one whose principal source of income is not derived from the exercise of his or her talent in the particular class for which he or she may have entered.  This condition does not apply to Conductors or Accompanists.

 

ASSOCIATION RIGHTS: The Association reserves the following rights             

                             A.      To refuse any entry.

                             B.      To disqualify an entry not meeting the by-laws and conditions.

                             C.      To re-allocate trophies.

                             D.      To transfer Competitors to the event above or below in Sections

                                         where there are insufficient Competitors to constitute an event.

 

                                             Section B  - Entry Guidelines

 

ENTRIES: All entries must be submitted via Stardom and comply with all defined requirements.

RECEIPT OF ENTRIES: The Committee will define entry closing times.  Entries received after the defined closing date and time will not be accepted.  All entries close Monday, September 2nd  at 5 pm.

ENTRY FEES:  Entry fees as set out hereunder must accompany all entries.

AGE LIMIT: A student competitor must be within the specified grade/ year level for 2019. Open Competitors are over the age of 18

PROOF OF AGE: The association reserves the right to call upon any Competitor at any time to provide proof of age and to withhold any prize until proof shall be provided.  This rule shall be strictly enforced and any infringements will disqualify entrants from future Eisteddfods.

AGE GROUPS: Where age groups are specified, competitors must compete in their own age group only, except in Duos or Trios where it is permissible to partner someone in an older section.  (This will debar the younger competitor from partnering anyone in his or her own age group.) In all Duos and Trios one of the competitors must be the correct age.

 

                               Section C -   Performance Conditions

SYLLABUS AND OFFICIAL PROGRAMME:  The Eisteddfod Syllabus will be made available early in the year, including entry forms.  The programme will be published as the official guide to sections, time and competitors.  Any omission or errata should be brought to the attention of the Committee in writing.

ORDER OF COMPETITION:  The order of competition will be programmed at the committee's discretion, and will be so printed in the Official Programme.  The order of appearance must be strictly observed by Competitors unless otherwise directed by the Conductor of the session. Failure to do so may result in disqualification.  No Competitor will be allowed to perform outside the specified Section at the time set down for that particular Section.

PERFORMANCE CONDITIONS: No competitor may perform the same item more than once.  Competitors must perform under their own name which must be submitted on entry forms.  No person will be permitted to compete as substitute for an individual competitor. 

DUOS AND TRIOS: The names of all members of competing Duos and Trios must be submitted with the entry form.  Provided at least one of the persons entered is available to participate in the event, other members may be substituted provided the names of the substitutes are handed to the Secretary in writing at least one (1) hour before the commencement of the Section. No performer may compete more than once in the same section for Duos or Trios.

GROUPS AND BANDS: Competitors may perform more than once in Bands, Instrumental Groups, Vocal and Speech Groups, but only as part of a different group.  Schools and other groups should note the copyright requirements noted in Section F.

                               Section  D    - Performance Regulations

 

PERFORMANCE RULES -  GENERAL.  Competitors perform at their own risk. All competitors must observe the instructions of the Session Chair and other Eisteddfod officials. No teacher or parent is allowed on the stage or in the wings during a performance, unless as a Committee official or Accompanist, Conductor or props person for that item.  Competitors must arrange for their own Accompanist, but should contact the Secretary if assistance is required.  Curtains will be allowed only for Groups.  The use of pre-recorded electronic accompaniment or backing is not permitted in vocal sections, unless specified in Syllabus.

STAGE REGULATIONS: Roma Cultural Centre requirements include the following: -No items will be permitted which entail the use of such things as sand, water, smoke, fog, dry ice, cream, food or drink, powder, electrical appliances or the lighting of matches on stage for effect purposes. No alteration to the stage lighting will be allowed.

 

ELECTRICAL REGULATIONS: The Cultural Centre requires that all competitors’ electrical equipment using mains (e.g. guitars, amplifiers, keyboards, power boards and leads) must carry a current electrical safety check tag.  Use of equipment not carrying a current tag will not be permitted, without exception.

 

AUDITORIUM REGULATIONS: The audience is required to observe normal theatre courtesies. The audience must remain seated during performances. Entry or exit will not be permitted during performances.  No food or drink is to be taken into the auditorium at any time.  Flashlights, cameras, audio or video recording equipment may not be used during performances in the theatre.  Mobile phones and pagers must be switched off.

These rules apply to any other venue used for Eisteddfod sessions.

 

                                Section  E  -  Adjudication and Awards

 

ADJUDICATOR APPOINTMENT: The Committee will appoint independent adjudicators for each Category.  If through unforeseen circumstances an adjudicator is unable to perform his/her duties, the Committee reserves the right to appoint a substitute.  Private pupils of an Adjudicator within twelve (12) months of the Eisteddfod may not compete in any Sections to be judged by that adjudicator.

ADJUDICATOR CONTACT:  An entrant, parent, teacher or associate should not approach an adjudicator during the Eisteddfod, as this may affect adjudication independence.  This rule does not apply to Eisteddfod coordinators.  Any contact must be through the Committee.

ADJUDICATION: Awards and placings shall be at the discretion of the adjudicator whose decision is final.  No prize will be awarded unless there is sufficient merit.  The adjudicators have the power to withhold or divide placings according to merit.

PERFORMANCE TIMES: Time limits allowed in sections are MAXIMUM time limits.  Items exceeding maximum time limits may incur a penalty of 5 points at the discretion of the Adjudicator.  There are no minimum time limits.  Items may be as brief as teachers consider desirable.

PROTESTS: The adjudicator’s decision is final and may not be appealed.  A protest for any other reason will be considered under the following conditions.  A protest must be made in writing and lodged with the Secretary within half an hour of the cause of the protest arising, accompanied by a fee of $50, which shall be forfeited if the protest is considered unsubstantiated.  Protests shall be investigated and decided by a panel comprising the Eisteddfod president, Secretary and Treasurer, whose decision shall be final.

AWARDS AND PRIZES: Every first, second and third prize winner will be awarded a Certificate.  Highly Commended Certificates may be awarded as recommended by the Adjudicator.  Individual adjudication reports and Certificates may be collected during the Eisteddfod, but must be collected within one month of the close of Eisteddfod competition. 

OWN CHOICE: This year students must bring a clean paper copy (no pencil marks etc) of their poem / performance piece with them to the eisteddfod on the day of their performance. These must be handed in to a committee member stationed in the foyer at the beginning of each session for the adjudicator to use in her deliberations.

Failure to comply will mean automatic disqualification. Requests to change or substitute a copy already submitted must be in writing and accompanied by a fee of $5 prior to the commencement of that competition, (i.e. Instrumental, Vocal, Speech & Drama).

Entering in the correct section is the responsibility of the competitor. Copies should meet the following specification: (A) not an original – printed on a A4 piece of paper (B) Attach entry template below to "OWN CHOICE" SELECTIONS -

                                     Section F - Copyright Requirements

 

COPYRIGHT REQUIREMENTS: Competitors must observe all requirements in relation to photocopying of music and words.  If the competitor is not performing from memory, an original or licensed photocopy must be used in the performance. 

ASSOCIATION’S RESPONSIBILITY: The Association shall not be responsible for an infringement of copyright or royalty by individual performers or persons associated with the performance.  Performers photocopying music for the adjudicator’s use do so at their own risk and no responsibility is accepted.

SCHOOL AND GROUP COPYRIGHT: Choirs, vocal and choral groups, orchestras, bands and ensembles must observe the following copyright requirements. To be eligible to compete in an Eisteddfod, school groups must perform from purchased original sheets (e.g. choral sheets, albums of pieces, vocal scores, sets of band or orchestral parts, etc.). In addition, they may also rely on the AMCOS licensed copies to be used in conjunction with and as a supplement to their originals.  These copies must be marked with the schools’ AMCOS LICENSED COPY Stamp and are exclusively the property of the School (or group of Schools) which has purchased and owns the originals.  Prior to the performance, the Committee will check that the competing school group will be playing from their originals, supplemented on occasions by the permitted numbers of extra photocopies under the AMCOS License.

Students are given a scenario and a few minutes preparation time. They then perform a short play (bell will indicate 1 minute warning, with 1 ½ minute bell indicating the end of the performance.) Time limit 1 ½ mins
