2023 RULES AND CONDITIONS OF ENTRY 

By entering this Festival, you agree to comply with ALL the Rules and Conditions below:

  1. The Festival will run under the Victorian Government’s Coronavirus Guidance for Arts and Live Performance Sector). All current COVID related information related to the Festival will be posted on our website and reviewed daily throughout the Festival. You must comply with the Festival’s COVID attendance rules (such as masks, sanitiser, social distancing and all other requirements) as per the latest post on our website.

  2. The Festival is open to amateurs only. An amateur is one who does not derive income from the art in which he/she is entering.

  3. The age of entrants will be as at the 1st July 2023.

  4. Students, relatives, or close associates of Adjudicators in 2023 are not eligible to enter any solo sections their teacher, relative or associate is adjudicating.

  5. The AMEB Grade (or equivalent*) is the level at which the entrant is studying at time of competition. Please verify with your music teacher that the “grade” of the piece to be performed is equivalent to the specified AMEB grade of the section to be entered to ensure fairness of competition. Entrants in the VCE section must be in VCE in 2023.

  6. All entries must be via www.stardom.com.au. Entry fee payment may be made by credit card, cheque or Direct Debit. See www.monashyouthmusicfestival.com.au for details.

  7. Where an entrant is entering more than one section, a different program must be performed for each section.

  8. Soloists performing with accompaniment must use an accompanist using an acoustic instrument (e.g. piano or guitar). Pre-recorded accompaniment is not accepted in any section.

  9. Entrants requiring the Official Accompanist must make contact and supply sheet music at least 2 weeks prior to the Festival. The Accompanist reserves the right to decline to accompany if this condition is not met. Rehearsals must be privately arranged with the Accompanist. Rehearsal costs are not covered by the Festival entry fee.

  10. A Notice of Appearance with date, time and venue will be forwarded to each entrant.

  11. The entrant MUST register within the registration time and prior to commencement of section unless prior arrangement has been made with the Registrar. The entrant must be ready to perform in the order shown in the Program and/or Running Sheet. An entrant will be disqualified if not present in the room and ready to perform when called.

  12. The Entrant must own a copy of the original sheet music. Refer to COPYRIGHT NOTE Rule No. 23 below. When registering, a photocopy of the music, with bars clearly numbered at the beginning of each system, must be given to the Registrar.

  13. Performance selections must be chosen to finish within time limits prescribed. A bell or signal will indicate the expiration of the time and the point at which adjudication ceases. Entrants have 20 seconds to cease playing without penalty. Entrants exceeding the 20 second overtime limit and do not stop when requested will be disqualified.

  14. The Committee reserves the right to appoint alternative adjudicators and accompanists, and to divide any section for adjudication.

  15. In the event of an insufficient number of entries in any section, the Committee reserves the right to cancel, modify or merge the section with another. The prizes awarded will be at the Adjudicator’s discretion.

  16. No entry fee will be refunded unless a section is cancelled.

  17. All entrants must behave with kindness, courtesy, and respect for all other entrants at all times. Entrants and audience members must remain still and quiet while others are performing. Any disturbance, such as talking, or entering or exiting the venue during a performance will result in the person in question to be immediately expelled and banned from returning.

  18. Prizes will be presented at the conclusion of each section. It is the responsibility of each entrant to collect their Adjudicator’s Report and any prizes. All items not collected within 6 weeks shall become the property of MYMF.

  19. The Adjudicator must always remain impartial. No communication is allowed between entrants or their families and the Adjudicator, from the time the Adjudicator is appointed until the conclusion of the Festival. This includes both personal communication and social media of any kind. Any communication with the Adjudicator during this time may deem the entrant in question disqualified.

  20. THE ADJUDICATOR’S DECISION IS FINAL. Any protest must be made in writing to The Secretary, within one hour of adjudication, and be accompanied by a deposit of $10 to be forfeited if the protest is deemed unjustified.

  21. PHOTOGRAPHS – The Committee is authorised to photograph any entrant during the MYMF. In submitting your entry, you have granted permission for your photographs to be used by the Committee for marketing or grant application purposes only. Please advise the Photographer if you do not wish your photo to be taken.

  22. UNAUTHORISED RECORDING OF PERFORMANCES BY PHONE, CAMERA, VIDEO CAMERA OR OTHER EQUIPMENT IS STRICTLY PROHIBITED. Photos of entrants by family members are permitted and welcome only at the conclusion of each section and session, but not during the performance.

  23. COPYRIGHT—According to APRA/AMCOS and Copyright Australia Ltd. (CAL), Entrants using copyright protected sheet music (i.e. not from memory) MUST USE ORIGINAL MUSIC PUBLICATION ONLY. The Entrant must comply with the Copyright Regulations available from APRA/AMCOS, 3-5 Sanders Place, Richmond. 3121. (www.apra-amcos.com.au). The MYMF has permission to handle the Entrant’s photocopies during the Music Festival for adjudication purposes only, but the Committee does not condone the unlawful copying of Copyright material. All photocopies will be destroyed after use as per AMCOS regulations.

  24. ENTRIES CLOSE 11 June 2023. Individual sections may close earlier when section reaches capacity. Please note that Registrars cannot accept entries for sections beyond that section’s limit. No late entries will be accepted.
