GENERAL CONDITIONS FOR WIMMERA MUSIC EISTEDDFOD
Please note that changes have been made for 2021 and read carefully
ENTRIES:
1. Entries close Monday 31st May 2021. Entries must be submitted on the STARDOM online competition database on or before midnight Monday 31st May 2021. All entries must comply with the general competition rules at the time of entry.
2. The age on the 1st January 2021 shall be deemed the age of the entrant.
3. Fees are payable to the Wimmera Music Eisteddfod Inc. (WME) online via Stardom. Competitors are not entitled to any refund of fees.
4. A confirmation email will be sent to the competitor and it is their responsibility to confirm all the details of the entry are correct. Responsibility for correct entry rests with the entrant.
5. When entering duets or trios, the name of each competitor must be given at the time of entry or entries will not be accepted.
6. A competitor may compete in a maximum of two (2) performance items in each duet, duo or trio section, so long as the partners change for each item. The piano program will only be open to duets, and no trios, to best comply with Covid safety requirements.
7. The competition is open to all amateur performers only (ie. You don’t derive your main income from performing or teaching). Teachers may enter both the Original Composition and Christmas in July sections. (See No. 29 & 42).
8. LATE ENTRIES will NOT be accepted past the due date for the 2021 competition. Please note that no late entries will be accepted after Monday 31st May 2021.
STARDOM:
9. All entries are to be made via the Stardom Website www.stardom.com.au
10. For Education schools a tax invoice is generated upon entry and payment is to be made within 21 days. Schools need to put the school email address when entering not teacher’s email.
11. The Eisteddfod cannot be responsible for entries lost through failed electronic transmission or incorrectly submitted online via the STARDOM database. No entry will be accepted unless processed online with full payment.
12. Please include specific instrument where asked ie. Strings Section (Electric Guitar, Violin etc)
13. Dates and session times will be available via Stardom and then on the Wimmera Music Eisteddfod Inc. website www.wimmeraeisteddfod.com once the program is finalised.
14. An OFFICIAL ACCOMPANIST is available at no extra fee in the vocal, brass, woodwind, strings, choirs and ensemble sections. Via the STARDOM online system entrants must indicate if they: need the accompanist; will provide their own accompanist; or use a recorded backing track.
COPYRIGHT:
15.The Wimmera Music Eisteddfod Inc. is a member of the Association of Eisteddfod Societies of Australia (AESA) and is covered under their partnership licence with OneMusic Australia for the competition. The Eisteddfod Licensing Scheme covers all live performances of copyright musical works, the playing of copyright sound recordings as backing tracks and the copying of sound recordings by entrants for uses such as backing tracks.
15.1: A photocopy must be provided for the adjudicator but will be destroyed by the committee after use. The copy must be marked with the section number and competitor number. Note : Original books will NOT be accepted for use by the Adjudicator.
ADJUDICATORS
16. Communication with the adjudicator whether by competitors, teachers or interested parties during the competition is prohibited.
17. The Adjudicators decision shall in all cases be final and no correspondence shall be entered into.
18. The adjudicator reserves the right to withhold any prize where insufficient merit has been displayed.
19. Competitors who do not adhere to the conditions set out in the schedule for their section will not be eligible to receive prize money and/or trophies in that section.
GENERAL ADVICE
20. The registration desk will open ½ hour before the start of each session ie. 9.30am; 1.30pm and 6.00pm.
21. Competitors must report to the Registration desk (located in the foyer) prior to the start of each session to indicate their attendance and adhere to all Covid safety requirements.
22. At Registration, competitors must submit a COPY OF EACH PIECE OF MUSIC, or SCRIPT (Monologue section) preferably a full score, for the Adjudicator, originals will not be accepted.
23. THE COPY IS TO BE MARKED WITH SECTION NUMBER AND COMPETITOR NUMBER and BAR NUMBERED AT THE BEGINNING OF EACH LINE OF MUSIC.
25. TIME LIMITS will be adhered to at all times. Unless otherwise stated, the time limit will be 4 mins for vocal and 3 mins for piano performances. Performance time is taken from the start of correct music. Competitors exceeding time limits for their section may be penalised, ie. they may get a critique from the adjudicator but be ineligible for prizes.
24.1 The time limit for the Championship Event is 12 mins for Vocal and 10 mins for Piano.
24.2 For advanced piano Grade 5+, the time limit is increased from 3 to 5 minutes.
24.3 The time limit for choirs, ensembles, and city bands is 10 minutes.
25. No music rehearsal or practice is permitted on the stage or on the piano prior to the commencement of the Eisteddfod. Any entrant or entrants not observing the condition will be automatically disqualified.
26. Two representatives are required from each choir/ensemble/band at the conclusion of their section for adjudication/placings.
27. Competitors acknowledge that they compete at their own risk
28. Use of costume by competitor’s is encouraged in the musical/film sections for both vocal and piano. Please supply the name of the musical / film which the piece originates from.
MUSIC CONDITIONS
29. Original Composition – THIS SECTION IS OPEN TO TEACHERS. A vocal song can be entered as well as an instrumental in this section and a FULL SCORE is to be submitted. The score should indicate the composer and/or lyricist. If a vocal song, the performer must have either composed the music or lyrics.
30. TUNING for instrumental ensembles shall be allowed on stage, for a maximum of 2 minutes, and for a maximum of 5 minutes for city bands.
31. The WME will provide 1 music stand and all required chairs for competitors.
32. A stage plan layout is needed for all ensemble and band sections stating the number of chairs required. Please indicate any instruments requiring power ie. Keyboard, Electric Guitar. The plan is to be submitted online via STARDOM (pdf). It is the responsibility of competitors to bring their own music stands if more than one is required.
33. No item (by a competitor or group) is to be performed again in another section. A competitor may not perform a winning item from previous Wimmera Music Eisteddfod’s.
34. MUSIC/SOUND: A recorded music backing track may be used for accompaniment. The track must have no guide melody line or recorded voices. If you are sourcing tracks for your accompaniment, you could try www.karaokeversion.com and www.pumproom.com.au
ALL TRACKS MUST BE RECEIVED BY FRIDAY 2nd JULY 2021.

After this date it is expected that entrants will have either emailed the backing track or be using an accompanist. No CD’s or phones will be able to be used on the day for accompaniment.
35. The use of microphones is not permitted.
36. A city band is a performing ensemble consisting of 10+ members of the woodwind, brass, and percussion families of instruments, along with the double bass or bass guitar. A time limit of 10 minutes applies with a maximum of 18 members to comply with Covid guidelines.
37. Choirs may have between 12-20 singing members, an accompanying musician is not considered a choir member. A limit of 20 is to comply with Covid guidelines and a time limit of 10 minutes applies.
38. Ensembles are open to any combination of instruments and/or voice for a minimum of 4 to a maximum of 12 performers. A time limit of 10 minutes applies.
39. The Ann Adler Memorial Piano Event is open to school students in two age divisions. This event is in memory of former local teacher Ann, with competitors invited to present 2 contrasting pieces of own choice. A time limit of 6 minutes for Primary and 8 minutes for Secondary students applies.
40. The Linda O’Brien Piano Championship event is open to advanced students of all ages. Performers are invited to present 2 contrasting pieces from any genre with a time limit of 10 minutes. This is an opportunity to play from the heart, from memory if desired and be creative. A written score will need to be provided for the adjudicator.
41. The Alex Rathgeber Vocal Championship event is open to advanced students of all ages. Performers are invited to present 3 contrasting pieces from any genre with a limit of 12 minutes.
42. Christmas in July – THIS SECTION IS OPEN TO TEACHERS. The event is open to all ages and combinations of instrument and/or voice. No prize money will be awarded, however the winner will be invited to take part in the Horsham Carols by Candlelight event, held in December. The content of the winners’ performance at the Horsham Carols will be at the discretion of the Carols Creative Program Director.
43. Monologue / Spoken Drama – This event is open to all ages, with two separate age Sections. A time limit of 4 minutes plus another 2 minutes is allowed for set up of any essential props (use of small props and costumes is permitted but not mandatory.) Monologue and spoken word includes speeches, poetry, monologues, sketches and other spoken drama. Competitors must provide a copy of the text being performed to the registration desk for adjudication. Language inappropriate for children must be declared at the registration desk. Any replica weapons used as props must be entirely fake with no way of causing injury. If replica weapons are to be used as a prop, these must be declared to the registration desk. No prompting is allowed, and no microphones will be available. Chairs are readily available and do not need to be supplied as a prop by the performer.
RECORDING OF PERFORMANCES & MEDIA USE:
44. The use of any digital devices including mobile phones, cameras or video cameras by members of the audience during competition is prohibited. Offenders may be removed from the auditorium. The Committee reserves the right to record, photograph, broadcast and /or telecast any part of the competition.
45. The Committee reserves the right to have present, on occasions, Media Photographers, or Official Photographers and to photograph items for the purpose of publicity and use such for promotional purposes at any time. Winners’ names may be made public to the local media.
SAFETY AND STAGE RULES
46. STAGE EFFECTS: No lighted candles, sparklers or any lighted flame is permitted, nor any flammable props such as hay bales.
47. LIGHTING: The standard lighting rig at the Horsham Church of Christ is used for all sections
48. CURTAINS: No front of stage curtain is available.
49. SOUND: A laptop and operator will be provided for all backing tracks (further notes pertaining to this are above in the general advice (item #34)).
50. Access to warm up and dressing rooms: Adults in this area must have a WWCC Card. Schools must provide any parents who need access with a name tag clearly stating parent’s name and school otherwise permission will be denied. Parents are not allowed to remain backstage, side stage or in warm up / dressing rooms.
RIGHTS OF THE COMMITTEE
51. The Committee reserves the right to cancel or otherwise amend sections if insufficient entries are received.
52. The decision of the Committee in all questions and disputes arising out of or not provided for by these conditions shall be final. All entries are received subject to this proviso and shall not be subject to any appeal at Law.
53. Excluding the Competition Schedule and Running Sheet, the copying by any means of any Wimmera Music Eisteddfod Inc. publication is not permitted without the written permission of the Committee.
54. Lost property will be retained by the committee for a period of 6 months after which it shall be disposed of or donated to charity.
CHILD PROTECTION:
55. The Wimmera Music Eisteddfod Inc. has a Child Protection Policy and Code of Conduct in place. These documents can be viewed on our website www.wimmeraeisteddfod.com They follow guidelines as laid down by the Victorian State Government. Volunteers will be required to have viewed and signed the Code of Conduct and where required, have a relevant Working With Children's Check (WWCC) before entering certain areas of the Venue.
COVID SAFE POLICY:
56. The Wimmera Music Eisteddfod Inc. has a Covid Safe Policy in place which can be viewed on the website www.wimmeraeisteddfod.com All volunteers will be required to have viewed the policy and adhere to its’ guidelines.

57. The Wimmera Music Eisteddfod Inc. is providing the following information as a guide for competitors. This proposed schedule is subject to change and is largely dependent on the number of entries in each section. No guarantees can be given.
Thursday:
a) Morning : Piano Sections (1a, 1b, 2, 3, 6, 7, 10, 13)
b) Afternoon : Primary and Secondary Ensembles; Primary School Choirs
c) Evening : Christmas in July; Piano Championship Event; Family Section
Friday:
a) Morning : Piano Sections (4, 5, 8, 9, 11, 12, 14)
b) Afternoon : Secondary School Choirs; Brass/Woodwind; Strings
c) Evening : Bands; Monologue/Spoken Drama <15 Years; Open Choirs and Ensembles; Original Composition
Saturday:
a) Morning : Vocal Sections Primary and Secondary
b) Afternoon : Vocal Sections Secondary and Open
c) Evening : Monologue/Spoken Drama 15+ Years; Vocal Championship Event
