SA Stage Dancing Society (SASDS) Terms and Conditions of Entry

Terms and Conditions of Entry

  1. I am aware of, and will comply with, the terms and conditions of the SASDS policies as listed on the website (www.saeisteddfod.com.au).

  2. I have checked my entries thoroughly, and where appropriate, discussed them with a dance teacher. I understand that if I have made an error with my entries no changes will be made after the entry closing date and no refunds will be given.

  3. I understand that Eisteddfod performances will be recorded and photographed in whole and that extracts may be used for editorial purposes and/or for the promotion of the Eisteddfod.

  4. I have read and understood the Eisteddfod Rules as set out below.

Supervision and liability of Minors and Competitors

  1. Competitors accept that there is an inherent risk that exists within physical activity. It is the responsibility of the competitor not to go beyond their physical capabilities and skill level. Routines must be within the competitor’s skill set.

  2. To the extent permitted by law, SASDS is not liable for any potential loss, damage, accident, injury or death that may occur as a result of participation in this competition.

  3. It is the responsibility of Parents and Guardians to supervise their children at the Eisteddfod except where they are prevented from being with them due to performance related requirements. In this case, the child’s dance school will assume reasonable responsibility for their safety.

  4. The terms and conditions of entry have been read and approved by a Parent or Guardian of competitors under the age of 18 (minors). All duo/trio and individual troupe/crew members must read and approve the terms and conditions of entry via an online or paper based form prior to performing at the Eisteddfod.


Eisteddfod Rules (2017 Amendments in red)

GENERAL

All matters relating to the application of any of these rules and any other matter concerning the Eisteddfod shall be determined by the SASDS committee in exercise of its sole discretion.  All decisions of the SASDS committee will be final and the SASDS committee shall not be required to provide reasons for its decisions.  

 

ELIGIBILITY

  1. Subject to rules 3, 4 and 5, the Eisteddfod is only open to amateurs.For the purposes of this rule, “amateur” means any current primary or secondary school student; or any eligible 'open age' competitor who since leaving secondary school has not worked in any professional performance capacity in the dance, theatre or performing arts industries.For the avoidance of doubt, any open age competitor will be deemed to have worked in a professional performance capacity in the dance, theatre or performing arts industries under this rule where they satisfy one or more of the following criteria:

(a)            They have undertaken paid work at any time as a choreographer;

(b)            They have, in any one financial year since leaving school, earned an income of $10,000 or more for work undertaken as a dancer, singer or actor;

(c)            They have received one or more qualifications as a result of completing any accredited full time course in any facet of dance, theatre, singing or acting;

(d)            They have been a cast member of any professional dance, musical or theatre production, with a running time of 4 weeks or more; or

(e)            They have appeared in any television show or movie as a dancer, singer or actor in a paid role.

  1. Principals; are only permitted to participate in the ‘Studio Showcase’ section of the Eisteddfod.
  2. Teachers; will only be allowed to compete in the Eisteddfod with the prior written consent of the SASDS committee and so long as an application in writing is received by the SASDS committee before the closing date of entries.The SASDS committee may give or withhold its consent in respect of any application under this rule in exercise of its sole discretion for any reason.
  3. Assistant teachers (one who assists a teacher and receives no/or token remuneration) are eligible to enter any section of the competitions.
  4. The Open Hip Hop Troupe section has no age or amateur status requirements. SA Stage Dancing Society welcomes competing Hip Hop crews that compete at HHI or similar and thus rules for this section, and this section only, have been relaxed to allow teachers/professionals to compete alongside students as they do in other Hip Hop crew competitions.

 

ENTRIES

  1. Entries must be submitted on the official SASDS website online data system, on or before the date specified. Correctness and approval of entries is the sole responsibility of competitor/responsible person. Prior to submission the entry must be approved by the Principal of the dance school. This approval shall be assumed by SASDS on submission of the entry.
  2. Only financial members (or students of financial members) of the SA Stage Dancing Society can submit entries to the Eisteddfod. Individuals wishing to enter who do not belong to a school with current financial membership must become financial members for entries to be accepted.
  3. No entry will be accepted unless accompanied by full payment. There will be no refund if, after entries close the competitor does not perform at eisteddfod.
  4. No refunds will be given for entries made in error or where a competitor does not appear for any reason other than if the section is cancelled by SA Stage Dancing Society.
  5. Dance schools (troupes), solo & duo/trio competitors must pay a compulsory registration fee at the time of lodging entries.
  6. Competitors who do not intend to compete in a section for which they have been entered are required to notify SASDS to that effect at least 24 hours before the time appointed for that particular section.
  7. If solo entries in any section equal twenty two (22) or more, divisions will be arranged by SASDS except for Championships and Scholarships where there will be no divisions.
  8. No school or group is to present the same song and set of work in different sections.
  9. The committee reserves the right to refuse any entry

 

EISTEDDFOD

  1. Competitors must compete in the order they appear in the official program, unless approved by the stage manager. If not present when called upon the competitor will be disqualified or, only compete at the end of the section for a “crit only”.
  2. Proof of age in the form of a birth certificate, blue CAFHS book, or student ID, must be shown upon request.
  3. Sections that receive only one entry may be scheduled at the discretion of SASDS. If cancelled, entry money will be refunded. Scholarships and Championships must receive a minimum of four (4) entries to be included in the program. If cancelled, entry money will be refunded.
  4. Scholarship and Championship sections may be arranged into age appropriate divisions if entry numbers require this.
  5. No competitor or group may compete twice in the same section.
  6. All competitors must book-in upon arrival at the eisteddfod venue at the ticket box, and at least three sections prior to section they are competing in. The exception being the first section for each Session where you are required to book in at least one half an hour prior to commencement of the Session.
  7. Timing of the performance is begun on the first movement and finished on the last movement. Should an item extend overtime, the adjudicator will be notified and it is at the Adjudicators discretion if the competitor is to be penalized/disqualified.
  8. Times given for commencing Sessions are absolute. Competitors are required to be ready to perform should preceding entrants not appear.
  9. Competitors who commence a performance and stop or leave the stage may be allowed to re-start, but will receive no placing and perform for a “crit only”, unless the fault is of a mechanical nature, or otherwise agreed by the Stage Manager and the Adjudicator.
  10. Prompting during performances of any item is strictly prohibited. Assistance in singing and any form of vocalizing by teachers and non-competitors side stage is prohibited.
  11. Character solos must be based on classical technique.
  12. National solos and troupes must represent the people of the selected item. Costume, music, and authentic steps must be typical of the character portrayed.
  13. Simple class attire and hand held props only during own choreography sections. Competitors only allowed side stage during these sections.

 

AGE LIMITS

  1. In regards to sections which are subject to an age limit, the age on January 1st of the year of the Eisteddfod shall be deemed to be the age of the competitor. Date of birth must be stated on entry form where age limits applies.
  2. Eligibility of Duo/Trio entries will be determined by the age of the oldest competitor.
  3. Subject to rule 12, solo & duo/trio competitors may only enter their correct age group.

 

SCHOLARSHIP/CHAMPIONSHIP SECTIONS

  1. To enter a Scholarship/Championship section, competitors must have entered and competed in a qualifying open section(s) as follows:
    1. Modern Championship – one of either Musical Theatre or Jazz AND one of either Lyrical or Contemporary.
    2. Classical Scholarship – one of either Classical Ballet OR Character or Demi-Character.
    3. Theatrical Championship – one of either Song & Dance OR Song & Tap.
    4. Tapping Championship – Tapping
  2. The minimum age for all Scholarships and Championships will be ten years.

 

TEACHER/COMPETITOR PASSES

  1. Solo, Duo/Trio competitors are provided with a competitor’s pass for free entry to the competitions. The Stage Manager will undertake random spot checks during the eisteddfod to confirm dates of birth and details of the competitors.
  2. All Principals, Teachers, and student teachers requiring passes must be financial members of the society and collect their passes, in person, from the ticket box at the eisteddfod venue. Any other person/persons requiring to be side stage need permission from the Stage Manager and will be required to be registered and have identification visible at all times side stage.

 

TROUPES

  1. Troupe performances must have a minimum of four (4) competitors. There should always be at least one competitor on stage at ALL times.

 

PROTESTS

  1. Protests regarding breach of rules, or adjudicator’s decisions, are to be made in writing within two hours of completion of section and to be accompanied with a deposit of $20 which will be forfeited if protest is not upheld.
  2. The decision of the SASDS committee in relation to protests shall be final. All entries are received subject to this provision.

 

AWARDS/PRIZE MONEY/AGGREGATES

  1. In the event of a tie in any section full prize money will be paid to each competitor. In the event of a tie in sections involving aggregate points, full points will be allotted to each competitor. Prize money and aggregate points will be awarded on Adjudicators placing’s irrespective of the number of entrants.
  2. Where a tie occurs for any aggregate, the greatest number of firsts will decide the winner. If firsts are equal then the greatest number of seconds or thirds will decide the winner. In the event that firsts, seconds, thirds are equal then joint winners will be declared.
  3. The Adjudicator is given the right to withhold any prize where sufficient merit has not been displayed.
  4. A detailed criticism (crit sheet) will be provided for each performance in every section and may be obtained only by the teacher, competitor or their carer, at the ticket box.
  5. Aggregate points will be awarded on Adjudicator’s placing’s irrespective of number of entries.
  6. All Aggregate (open and novice) winners and runners up are no longer eligible to enter any novice sections in future Eisteddfods.

 

STAGE REHEARSAL

  1. No rehearsal or practice is permitted on the stage to be used for the Eisteddfod after the commencement of ‘bump-in’, or during the whole of the Eisteddfod period. Any competitor not observing this condition will be automatically disqualified. This will not apply to competitors entered in the Classical Scholarship Sections; a time will be scheduled for these competitors to appropriately ‘warm-up.

 

ADJUDICATORS

  1. Communication with the Adjudicator either by competitors, teachers or other interested parties during the eisteddfod is absolutely prohibited. SASDS reserves the right to disqualify a competitor for any breach of this rule.
  2. Competitors who have been taught, coached or advised by the Adjudicator, excluding participation in workshops or examinations, in the twelve (12) months prior to the closing of entries will not be eligible to compete in that section.
  3. Adjudicator’s decision as to whether or not an item presented by a competitor complies with conditions of the section shall be final.

 

PHOTOGRAPHY/VIDEOGRAPHY

  1. SASDS reserves the right to Video Tape or Photograph for TV, print, online (website and society Facebook or other online media) or other promotional purposes any performance in the Eisteddfod.
    1. SASDS will appoint Photography and Videography organisations who will photograph and video on stage performances. These recordings will be available for purchase by the competitor or their parent/family only. Principals of dance studios may purchase Troup performances.
    2. No photographs or video of a performance will be made unless permission is explicitly granted on the entry form.
      1. Note that for duo’s, trio’s and troupes it is the responsibility of the person submitting the entry and approving photography/videography to ensure that permission is granted by all performers involved in the performance or, if under 18, their parent or carer prior to submitting the approval.
      2. If permission has not been granted and there is a request to change that, this must be notified to:
        1. To the Photography or videography organisation if on the day of performance – no later than 20 minutes prior to commencement of the session,
        2. To SASDS, if prior to the commencement of the eisteddfod – no later than 1 week prior to the eisteddfod commencing.
    3. Use of Video, Audio or Image Recording devices by audience members or eisteddfod participants, including but not limited to, Cameras, Video Cameras and Audio Recorders whether discrete devices or embedded within mobile phones, music/media players, pens or other items, is strictly prohibited within the theatre, side stage or in competitor allocated rooms. This is required by our Child Safe Policy, and protects the copyright of performers, choreographers and others involved in creating each performance. Offenders will be removed from the eisteddfod.

 

NOVICE SECTIONS

  1. (a)Novice solos – Competitors entering the Novice section are ineligible to enter in the corresponding open section (eg. Song and Dance/Song and Tap; Jazz/Musical Theatre; Contemporary/Lyrical). If both sections are being entered, both must be in open sections.(b)Once a competitor has placed in a section at a SASDS competition, (first, second or third) they must enter the following two years as an open competitor for that genre.

(c)  Novice Troupes – to qualify for Novice the school cannot have placed first, second, or third in that section for the last two years. Competitors from each school can only compete in Novice or open in their respective age groups. Schools with two troupes in one age group will still need to qualify for Novice. Troupes will only be awarded half aggregate points.

 

COPYRIGHT

  1. Copyright:The Eisteddfod is covered by a license from Australian Performing Rights Association for the performance of music during the eisteddfod. Competitors are reminded, however, that the making of photocopies or recordings of copyright works may be an infringement of the copyright act. SASDS will not be liable for any copyright infringement. Any mechanical royalties that may be payable for performance of recorded copyright material is the responsibility of the performer.

 

INSURANCE

  1. Competitors are not covered by public liability insurance. All dance schools and parents/carers should ensure that competitors are privately insured for any injury incurred during the eisteddfod.

 

CURTAIN/TRAVELERS

  1. There will be no curtain or travelers except for the back traveler for Tapping, Classical, National, Jazz, Neo Classical,Contemporary, Song and Dance, Song and Tap, Character, Hip Hop Solos, Duos/Trios, Classical part of the Scholarship and Championships. Curtains and Travelers will be allowed for ‘Little Stars’, Character Scholarships, and Troupes.

 

PROPS/LIGHTING

  1. Props to be used for a performance must be side stage prior to the session commencing. It is the responsibility of the teacher to place props on the stage, and to ensure that there are enough people to assist if required. No more than 3 extra people. There is a 30 second time limit to set props on stage for solos. The Stage Manager MUST be notified of any props and people requiring to assist side stage.

The following applies for all props being placed on stage at the SASDS Eisteddfod:

  • A Prop should be no more than 12kg
  • All props to be brought at the start of the session for which they are required and removed at the end of the same session. 
  • If props are to be used at all, they should be flame resistant, be appropriate and be a fully integrated part of the performance.
  • Hand props should be relevant to the situation showing appropriate size, shape, period, weight and texture of the article, judged by the way they are handled, they should be convincing.
  • Props are not to be dragged pulled or pushed onto stage area without castor wheels placed under the prop, this is to protect the stage floor.

ANY Persons not adhering to this requirement will not be able to use the prop on stage.

 

  1. Props and accessories are not allowed in Classical solos other than handheld props.
  2. Straw bales used as props must be enclosed completely in clear plastic. No glass, mirrors or other breakables are allowed on stage. All articles or any substances that create problems for the floor or introduce risk of injury for competitors eg: eggs, liquids, powder, clay, foodstuffs, etc. are not allowed. Competitors using such items will be disqualified. Any props that require the stage to be swept after use are discouraged.
  3. If available, special lighting is allowed for the character part of Scholarships and all Troupes. Only standard stage lighting is to be used for all other items. Lights attached to or part of scenery is permitted only if electrically tested/ tagged, or battery powered. No lighted candles or naked flames will be permitted on the stage.
  4. Backdrops and flies for troupes are allowed if applicable to the venue.

 

ELECTRICAL ITEMS

  1. All electrical items eg hairdryer, hair rollers/ straighteners, lights as props, mobile phone/iPod/iPad chargers etc., must be tagged in the current year or will not be able to be used anywhere in the venue. Untagged items found in rooms will be removed and available at the ticket box for collection and removal from the venue.

 

MUSIC

  1. CD’s must have only one item on them. A cable connection is provided for iPod/iPad, however it is the responsibility of the teachers to connect and play the music.
  2. No backing vocals allowed whilst singing during Song and Dance and/or Song and Tap sections.

 

STAGE PREPARATION

  1. Stage preparation is allowed, 30 seconds for Solos, one (1) minute for Troupes, and three (3) minutes for Studio Showcase.

 

STUDIO SHOWCASE

  1. The Studio Showcase Section must be a continuous performance containing dancing, and or singing and any special features. This could include concert finales. It will be judged on entertainment value, execution, costume, content, dance, with mime kept to a minimum.

 

SPECIALTY SECTIONS

  1. Specialty Sections – SASDS may also offer specialty sections including, but not limited to, Multi-Cultural, Secondary Schools, and Video competition. All competitors in the Specialty Sections will operate under these rules. Any modified rules affecting these sections will be identified on the SASDS web site.

 

STAGE MANAGER

  1. To assist with the efficient and smooth running of the Eisteddfod, the Stage Manager has the discretion to vary the “Rules” that relate to day-to-day performances.

50% of entry fee reimbursed for Schools who participate. Principals are permitted to participate in the ‘Studio Showcase’ section of the Eisteddfod. The Studio Showcase Section must be a continuous performance containing dancing, and or singing and any special features. This could include concert finales. It will be judged on entertainment value, execution, costume, content, dance, with mime kept to a minimum.
